Hong Kong Virtual Office | Company Registered Address

Chinglink understands that a reliable company must have a good corporate image. The most basic thing is an address that matches the corporate image, which can increase customers' confidence in the company; an excellent virtual address is only the most basic element of a virtual office. You can also choose from more different types of value-added services, which not only enhance your corporate image, but also meet your company's actual operational needs.

In addition to the general service content, we also launch new value-added services from time to time according to customer needs; compared with other business centers, the services are more diverse, considerate, comprehensive and flexible. In addition, we also focus on maintaining two-way communication with our customers to establish the foundation of quality services and gain trust.

FAQ

What is a virtual office service?

A virtual office service is a flexible business solution that provides companies with a professional business address and office support services without the need to actually rent physical office space.

Services typically include:
  • Prime location business registered address
  • Mail and parcel receipt and forwarding services
This service is particularly suitable for startups, freelancers, remote work teams, and overseas companies looking to establish a business presence in Hong Kong, significantly reducing operating costs while maintaining a professional image.

How much does a virtual office service cost?

We offer three locations at different prices:
  • Tsim Sha Tsui — HK$1,350/year
  • Kai Tak (near IRD) — HK$1,150/year
  • Diamond Hill — HK$1,150/year
All three plans include the registered business address, plus mail forwarding with the fee already included in the annual price — no shipping surcharge. Compared to renting physical office space (starting from HK$100,000 per year), a virtual office can save up to 99% of costs. Contact us to discuss which location suits you.

What types of businesses are virtual offices suitable for?

Virtual office services are suitable for various types of businesses and professionals:
  • Startups and SMEs - reduce fixed costs in the early stages of business, allocating funds to business development
  • Freelancers and SOHO workers - need a professional business address but not a physical office
  • Overseas companies - looking to establish a business presence in Hong Kong and expand into the Asian market
  • E-commerce and online stores - need a legal business address for company registration and shipping/receiving goods
  • Remote work teams - team members scattered across locations, no need for fixed office space
  • Project-based companies - business nature requires flexible office arrangements
  • Consultants and professional services - spend most time at client locations, only need business address and meeting space
Whether you're a startup entrepreneur or an established business looking to expand, virtual offices provide flexible, professional, and cost-effective solutions.

What is the contract period for virtual offices? Can it be cancelled at any time?

We offer contract period options with only annual payment plan - 12-month contract. Cancellation policy: Monthly payment plans require 30 days written notice for cancellation; annual payment plans generally require fulfilling the complete contract period. However, we understand business needs change; if there are special circumstances (such as company closure, business transformation, etc.), you can discuss early contract termination arrangements with us.

Renewal: 30 days before contract expiration, we will contact you to confirm renewal intentions. Renewal customers usually enjoy preferential pricing. We recommend starting with a shorter contract period to trial the service, then choosing a long-term plan for better pricing once satisfied.

For a business owner based outside Hong Kong or working remotely, is it possible to establish and operate a company without ever being physically present?

Yes — this is one of the most common ways our virtual office and company secretary services are used together. Hong Kong law does not require a director or shareholder to reside in Hong Kong, but it does require a Hong Kong registered office address and a Hong Kong-resident (or Hong Kong company) secretary, which is precisely what these two services provide. In practice, a Hong Kong company can be incorporated, maintained, and operated entirely remotely: mail is scanned or forwarded, and all statutory filings are handled by the company secretary, so physical presence is never required.

Can a virtual office address be used for company registration?

Yes. The virtual office address we provide fully complies with Hong Kong Companies Registry requirements and can be used as the company's Registered Office Address. The address is located in Hong Kong's prime business district, not only legal and compliant but also enhancing the company's professional image and credibility.

Using our virtual office address, you can:
  • Register it as the company registered address with the Companies Registry
  • Receive official correspondence from government departments
  • Receive mail from banks and business partners
  • Use the address on business cards and websites
We will properly handle all mail sent to this address and forward it or notify you for collection according to your requirements.

How are mail and parcels handled? Can they be forwarded to other addresses?

Our service covers mail only — parcels are not included.

How it works:
  • You're notified by email or WhatsApp when mail arrives (notifications do not include photos)
  • Forwarding is the default handling — local and international forwarding fees are already included in the annual price, with no shipping surcharge
  • Document scanning is available on request, but isn't done automatically for every item received
Because mail is forwarded by default, storage isn't the normal path — 30-day storage isn't something to plan the service around.

Will using a virtual office affect bank account opening?

Using a virtual office address will not automatically affect bank account opening, but note the following:
  • Choose a reputable service provider - banks will verify your registered address; using addresses from well-known business centers is more likely to gain bank trust
  • Prepare sufficient business proof - besides the registered address, banks are more concerned with your actual business operations; need to provide business plans, contracts, invoices, etc.
  • Explain usage reasons - during account opening interviews, clearly explain why you chose a virtual office (such as cost savings, business nature, etc.)
  • Provide additional contact information - can provide directors' residential addresses, mobile numbers, etc. as supplementary contact information
Our virtual office address is located in a well-known commercial building, with many clients successfully using it for bank account opening. We also provide address proof documents and related support to help you successfully complete the account opening process.

The key is demonstrating genuine business operations and legitimate business intentions.

What's the difference between virtual offices and co-working spaces?

Virtual offices and co-working spaces are two different business solutions, each with advantages:

Virtual office:
  • No physical workspace - only provides business address and administrative support services
  • Lower cost - annual fee approximately HK$1,500-10,000
  • Suitable for remote work - businesses that don't need a fixed office location
  • Service-oriented - focuses on mail handling, telephone answering, and other administrative support
Co-working space:
  • Provides physical workspace - has fixed or flexible desk spaces
  • Higher cost - monthly fee starting from approximately HK$2,000-8,000
  • Suitable for those needing office space - individuals or teams needing daily work locations
  • Social networking - can network and collaborate with other entrepreneurs
Selection recommendation: If you mainly need a professional business address and administrative support, virtual offices are more cost-effective; if you need daily workspace and office facilities, co-working spaces are more suitable. Of course, you can also combine both, using virtual office as a base and renting co-working space as needed.
